Duties and Responsibilities

  1. Provide secretarial and administrative support to the Head of Department (assist with calendar, arrangement of meetings, assist with travel arrangements, claims, etc.).
  2. Handle finance and accounting processes including accounts payable/receivable, procurement of goods/services, Income Collection System, and ensuring they comply with all financial and purchasing procedures.
  3. Provide office administration support services such as liaising with vendors and term contractors to order office supplies and maintain office facilities to ensure smooth operation of the LKCNHM.
  4. Act as point of contact for all incoming administrative telephone calls, emails, faxes and enquiries, visitors.
  5. Provide logistical (and organisational) support for events/meetings/seminars (both internally and with external parties), and be able to prepare minutes for these meeting when necessary.
  6. Assist in Human Resource related matters such as recruitment, appointments, and annual review exercises
  7. Perform various tasks using SAP-based systems, and TRAC
  8. Provide assistance to, and answer queries from LKCNHM staff members relating to administrative matters (e.g., purchasing, leave, claims)
  9. Attend to all general enquires
  10. Any other duties as assigned 

Requirements

  1. Diploma/professional qualification related to Business/Administration/Accounting
  2. Minimum 2 years of relevant working experience
  3. Competent in Microsoft Office (especially Word, Excel and Outlook) and SAP
  4. Good interpersonal and communications skills
  5. Be able to exercise tact, discretion, understanding, and sensitivity in the handling of confidential information and delicate issues/situations
  6. Meticulous approach to carrying out tasks and possess a positive work attitude

Job Opportunity: Museum Officer

The Lee Kong Chian Natural History Museum (LKCNHM) of the National University of Singapore invites applications for a Museum Officer position. The successful candidate must be highly motivated and passionate about specimen-based research of Southeast Asian biodiversity and educating NUS students on environmental issues affecting Singapore and the region. As such, we are looking for a responsible and reliable good communicator who is a multi-tasker and team player. Salary and benefits will be commensurate with qualifications and experience.

 

Duties and Responsibilities

  1. The successful candidate will develop a strong research programme on Southeast Asian biodiversity and will be responsible for expanding and curating a section of the marine invertebrate collection. Candidates with research experience in marine invertebrates will thus be preferred.
  2. The successful candidate may also have undergraduate teaching responsibilities in the College of Alice & Peter Tan; this may take the form of modules relevant to his/her interest and experience, (e.g., senior seminar “Environment and Civil Society in Singapore” http://capt.nus.edu.sg/academic-programme/college-modules/senior-seminars-2; ca. 75 contact hours/year), as well as learning opportunities for students outside of the classroom.
  3. Perform service for the museum, which includes outreach, fund raising, research management, environmental impact assessment consultancies, etc.

 

Requirements

  1. PhD degree and subject expertise in specimen-based biodiversity research (marine invertebrates)
  2. Singapore citizenship or Singapore permanent residency (PR) preferred
  3. Strong English writing and verbal skills
  4. Documented ability to multi-task and work well in a team

 

Desirable skills:

  1. Work experience in environmental impact assessment, fund raising, conference or workshop organization, museum curation and administration, journal editing, education programme development, research management or administration
  2. Singapore class 3 driving licence

The Lee Kong Chian Natural History Museum (LKCNHM) is Singapore’s only natural history museum which is located at the National University of Singapore. We are looking for a motivated and hands-on individual who will be responsible for the maintenance and troubleshooting of the audio-visual (AV), information technology (IT), and electrical equipment related to the activities of the museum (including public spaces and external exhibitions). The candidate will be expected to perform routine checks on this equipment to prevent problems from occurring, and to fix them as quickly as possible should they arise.

Duties & Responsibilities:

  • Perform maintenance and troubleshooting on audio-visual equipment of all exhibitions spaces in the museum
  • Perform maintenance and troubleshooting on computer equipment in the museum
  • Perform maintenance and simple repairs on electrical equipment in the museum

Requirements:

 Essentials:

  • GCE O-level or N-level educational qualification
  • 2 to 3 years relevant working experience
  • Must be able to speak and write in English
  • Must be able to maintain and troubleshoot audio-visual hardware (including LCD projectors, LCD screens, associated computers, speakers, screens, and cables)
  • Must be able to maintain and troubleshoot audio-visual software (including video and audio coders/encoders [i.e. ‘codecs’], media players, media files in different formats)
  • Must be able to maintain and troubleshoot computer hardware and software (hardware/software troubleshooting, replacement of parts/peripherals)
  • Must be able to carry out simple repairs on electrical equipment (e.g., replacement of lighting fixtures and electrical cables)
  • Must be able to work on weekends (Saturdays and Sundays), Public Holidays and irregular hours as and when required
  • Must not be afraid of heights (for work carried out above ground level)
  • Must not be afraid of dead animals (for work carried out in the collections)
  • Must be able to lift at least 15 kg
  • Must be able to work in a potentially crowded environment and in the presence of museum visitors (and handle potential enquiries from visitors with politeness and patience)

Duties & Responsibilities:

  • Perform general maintenance of the museum’s collections of biological specimens and publications, as well as associated facilities. Maintenance work includes curation of specimens and their containers, and topping up preservatives and cleaning of premises
  • Assist in packing and mailing of specimen loans
  • Participate in field surveys and collections
  • Assist research visitors and students, and oversee volunteers in collections

Selected candidates will be trained in-house by curators and managers on the methods and safe practices of handling preservatives and specimens; and on the importance of both scientific and historical collections.

EXECUTIVE SECRETARY POSITION AVAILABLE

The National University of Singapore (NUS), Lee Kong Chian Natural History Museum invites applications for the Executive Secretary position for the International Commission on Zoological Nomenclature (ICZN). We seek suitable candidates from around the world. The successful applicant will be a staff member at the NUS. Salary and benefits will commensurate with qualifications and experience. The initial appointment will be for one year, and renewable for a maximum of two years. Employment after that period will depend both on performance and availability of funds.

Major responsibilities of the position are:

1. Coordinating activities of the ICZN, under the direction of and in consultation with the ICZN Council (headed by the President), including
a. Communicating with Commissioners of the ICZN on the efficient conduct of routine business
b. Communicating with the scientific editor of The Bulletin of Zoological Nomenclature, maintaining electronic sites where documents may be shared among Commissioners of the ICZN (such as those relevant to cases under consideration and to the Fifth Edition of the International Code of Nomenclature)
2. Tracking and inventorying public outreach of the ICZN by Commissioners
3. Conducting and managing elections of members of the ICZN Council and of Commissioners, under the direction of the ICZN Council
4. Acting as spokesperson for the ICZN as and when directed by the ICZN Council
5. Other related ICZN tasks as assigned by the President of the ICZN

The Executive Secretary will not have responsibilities for:

1. Activities that are the purview of a Commissioner of the ICZN
